ProperTea

Privacy policy

Last updated: 12 October 2026

This policy explains what personal information ProperTea handles, why, where it goes and how to have it deleted. It applies to property managers, tenants and service providers who use the service.

1. Information we handle

Property managers: the name, email address and account identifier provided by Google when you sign in; the company name you enter; your properties' names and addresses; your service providers' names, trades, phone numbers and email addresses; and your settings.

Tenants: the name and phone number you enter, your description of the problem, your answers to follow-up questions, the photos you upload and the language you used. A report is linked to the unit whose link you used.

Service providers: the note and photos you submit when reporting a job done or not done.

Technical information: a single cookie that keeps a property manager signed in, and standard server logs (such as time, address requested and error details) kept by our hosting provider.

We do not ask for identity numbers or payment details, and we do not use advertising or tracking cookies.

2. How we use it

To operate the service: receive reports, analyse them, show them to the property manager, prepare and pass on work orders, record the progress of each ticket, and send notifications about it.

To keep the service secure and working, and to investigate faults and misuse.

We do not sell personal information and do not use it for advertising.

3. Automated analysis

To triage a report, its photos, description and answers are sent to an artificial-intelligence service operated by Anthropic, which returns a suggested cause, urgency, route and wording. The same service translates ticket text between Hebrew and English. The tenant's name and phone number are not included in what is sent for analysis; photos and free text are sent as submitted, so avoid including personal details in them.

A person, the property manager, reviews the result and decides what to do. The analysis may be wrong; see the terms of use.

4. Who sees your information

The property manager of the unit sees the full report, including the tenant's name, phone number and photos.

A service provider the manager sends the job to receives a link showing the report, photos, likely cause, work order, the address and the tenant's name and phone number. Anyone holding that link can open it.

Anyone holding a unit's link or QR code can see the titles and status of that unit's reports from the last 30 days and open them. Those pages show the guidance given to the tenant, not the photos.

Companies that process data for us: Google Cloud (hosting, database, file storage and sign-in), Anthropic (analysis and translation) and, where email notifications are enabled, an email delivery provider. They act on our instructions.

Authorities, where the law requires it.

5. Where it is stored

The database and photos are stored with Google Cloud in its Tel Aviv region. Analysis by Anthropic and delivery through our hosting network may involve processing outside Israel, including in the United States.

6. How long we keep it

Information is kept for as long as the property manager's account exists, so that the history of each unit remains available.

When a manager removes a unit or a property, its tickets and photos are deleted. When a manager closes their account, everything belonging to it is deleted: the account, properties, units, service providers, tickets and photos. Deletion is permanent. Copies may remain in routine backups and logs for a limited time before they expire.

7. Your choices and rights

Property managers can close their account, which deletes all of its data, from the Settings page.

Tenants and service providers can ask the property manager who holds the report to delete it, or contact us. You may also ask to see the information held about you or to have it corrected, as provided by the Protection of Privacy Law, 1981.

You are not legally required to provide information, but without a name, phone number and photo a report cannot be submitted.

8. Security

Access to data is restricted, connections are encrypted, and photos are kept in private storage that is only served to the property manager or through the job's link. Report and work-order links are long random addresses: treat them like a key and share them only with the people who need them. No system is completely secure, and we cannot guarantee absolute security.

9. Children

The service is intended for adults. Do not submit photos of children.

10. Changes and contact

We may update this policy; the date at the top shows the latest version.

Questions and requests about personal information can be sent through the contact details published on propertea.io.
